Getting the Right Part to the Counter, Every Time
An automotive spare parts distributor replaced paper catalogs and guesswork with an
system built around how a parts counter actually works — vehicle-based search, smarter stock replenishment, and instant visibility across every branch.

Executive Summary
Speed at the counter is the product
1The Situation
Counter staff matched parts to vehicles from paper catalogs and memory, every part was reordered the same way regardless of how fast it sold, and supplier options lived in a few people's heads rather than in any shared record.
2The Objective
Give every counter an instant, reliable answer on part availability and sourcing — without asking staff to change how they work day to day.
3The Approach
Configure
Inventory, Purchase, and Sales around real counter workflows, and add one focused piece of custom development where standard
fell short.
Business Challenges
What was slowing the counter down
Vehicle-to-Part Matching
Confirming compatibility relied on paper catalogs and staff memory, with mistakes occasionally sending the wrong part out the door.
One-Size-Fits-All Reordering
Every part was replenished the same way, so fast-moving parts ran short while slow movers piled up and tied up cash.
Undocumented Supplier Knowledge
Which suppliers carried a part, at what price and lead time, lived mainly in a few senior staff members' heads.
No Cross-Branch Visibility
A branch without a part in stock had no quick way to check whether another branch had it before turning the customer away.
Disconnected Returns Tracking
Defective or wrong-part returns had no link back to the original purchase, slowing down warranty claims with suppliers.
"A mechanic with a car on the lift doesn't want to wait — he wants an answer in seconds."
That’s the standard a parts counter is actually held to. Every part of this implementation was built around meeting it — not around what looks good in an ERP demo.
Solution Built around how the counter actually works
Inventory
Vehicle-based search, fast/slow-mover replenishment
Purchase
Multi-vendor sourcing with price & lead time
Sales
Cross-branch order & transfer visibility
Accounting
Purchase-linked returns & warranty claims
Converging into a custom Returns-to-Purchase Tracing tool
Vehicle-Based Part Search
Products were structured with vehicle make, model, and year as searchable attributes, so counter staff can look up every compatible part in seconds instead of consulting a printed catalog.
Demand-Based Replenishment
Parts were classified by sales velocity, with separate reordering rules for fast-moving and slow-moving categories — tighter stock and quicker replenishment where it’s earned, leaner stock where it isn’t.
Multi-Vendor Sourcing Records
Each part was linked to its available suppliers along with price and typical lead time, giving purchasing an immediate view of the fastest or most cost-effective source when a part is needed urgently.
Cross-Branch Stock Visibility
All three branches and the central warehouse now share one inventory view, so staff can instantly see whether a part is available elsewhere and arrange a transfer.
Customization
Where standard
needed a hand
Most of this build is configuration, applied deliberately. One piece needed custom development.
01Returns-to-Purchase Tracing
-
01 STANDARD ODOO
Basic lot tracking
A customer return isn't automatically connected back to the specific supplier purchase the part originally came from.
-
02 VAYASOFT CUSTOMIZATION
Complete genealogy tracking
A lightweight custom link traces every defective or incorrect-part return directly back to its original purchase order, in a few clicks.
-
03 Business Result
Traceability in minutes
Warranty claims on defective parts are filed with suppliers markedly faster, with no paperwork digging.
